About the Job
Purpose:
Assist the service manager in maintaining accurate and on-time reports and records relative to the service department’s operation within the dealership. Perform general office support including receptionist duties and basic accounting transactions.

Responsibilities:
  • Fields internal and external customer inquiries to the Service Department.
  • Opens work orders as directed by the Service Manager/Shop Foreman and maintains control until they are closed and invoiced.
  • Maintains the service library with current information (for example, files bulletins, manuals, multi-media, etc.) under the direct supervision of the Service Manager.
  • Maintains Service Department filing and records.
  • Maintains accessories and supplies and prepares replacement orders.
  • May prepare Service Technician efficiency reports.
  • Follows all safety rules and regulations in performing work assignments.
  • Other duties assigned by Management or directly related to customer service.
  • Completes daily cash reconciliation and bank deposit for location and posts necessary entries in the accounting system as required.
  • Greet incoming customers and direct them to appropriate contact or department.
  • Answer incoming calls through main telephone number.
  • Process incoming and outgoing mail and process intercompany mail.
  • Responsible for ordering office supplies and ensuring office equipment is operating properly, for processing bank deposits, picking up and dropping off mail and obtain petty cash balance on a daily basis.
  • Perform related clerical duties, such as data entry, word processing, maintaining filing and record systems.

Experience, Education, Skills and Knowledge:
  • 1+ years in an office environment or as an administrative assistant is preferred.
  • Understands basic accounting fundamentals.
  • Ability to use standard desktop load applications such as Microsoft Office and internet functions.
  • High School Diploma or equivalent experience.
  • Strong organizational and time management skills.
  • Professional telephone etiquette.
  • Strong oral and written communication skills.
  • Manage and prioritize multiple tasks at one time.
